4. How we use information
We use personal information to:
- Provide the service — authenticate you, sync your data, show programs, and operate chat, community, check-ins, and tracking features.
- Coach you — let your assigned coach or staff see the information needed to program training, nutrition, recovery, and accountability.
- Personalize — calculate or display calorie targets, training intensity, reminders, and progress.
- Communicate — send in-app and push notifications you enable (messages, workouts, nutrition alerts, reminders).
- Keep the service safe and reliable — prevent unauthorized access, debug failures, and enforce our Terms of Use.
- Comply with law — respond to lawful requests and protect rights, safety, and property.
- Improve the product — understand feature usage at an aggregate or account-support level through our own servers (not a third-party ads SDK).
We do not sell your personal information. We do not use your health information for third-party advertising.
Legal bases (EEA/UK, where GDPR applies) typically include:
- Contract — to provide the coaching App you (or your coach on your behalf) asked to use.
- Consent — for optional sensitive health entries, photos, microphone, camera, and push notifications.
- Legitimate interests — security, fraud prevention, and service improvement, balanced against your rights.
- Legal obligation — where we must retain or disclose information.
5. How we share information
We share information only as described below.
5.1 Your coach and authorized staff
This is a coaching product. Your assigned coach, administrators, and authorized support staff can see information you enter in the App, including profile, health and fitness logs, check-ins, progress photos, chat, and (where applicable) community activity. That sharing is required for the service to work.
5.2 Other members (community)
If you post in Community, other members of that community may see your display name, profile photo, and the content of your post (text, photos, videos, comments). Do not post information you do not want other members to see.
5.3 Service providers (processors)
| Provider | Role | Typical data |
|---|---|---|
| Our hosting provider | App backend | Account, health, chat, and content you create |
| Google Firebase (Authentication, Realtime Database, Cloud Messaging, Firestore) | Auth, realtime sync, push delivery | User ID, auth tokens, synced records, FCM tokens |
| Cloudinary | Image and video hosting | Profile, chat, community, check-in, and progress media you upload |
| Google Fonts | Loading some UI fonts | Device IP address to Google when a font is fetched |
| YouTube, Vimeo, Dropbox, Google Drive (embedded players) | Playing coach-assigned videos | Whatever those players collect when a video loads (typically device/IP and playback data under their policies) |
| Our realtime messaging service | Live chat delivery | Message content and delivery metadata |
Each provider has its own privacy policy. Firebase and Google services are governed by Google’s terms. Cloudinary is governed by Cloudinary’s terms.
5.4 Legal, safety, and business transfers
We may disclose information if required by law, to protect users or the public, to investigate abuse, or as part of a merger, acquisition, or asset sale (the new operator must honor this Policy or notify you of changes).
5.5 What we do not share for ads
We do not share personal information with data brokers or advertising networks for cross-app tracking or interest-based ads.
6. Sensitive health information
The App can store special-category / sensitive health data, including:
- Medical conditions, medications, allergies, injuries
- Pregnancy status
- Menstrual cycle and related notes
- Body weight, measurements, and body/progress photographs
- Sleep, fasting, nutrition, and workout data
Please treat this as highly sensitive:
- Enter it only if you want your coach to use it.
- Progress photos may show your body. They are uploaded to our servers and visible to your coach. They are not intended for the public community unless you separately post them there.
- Cycle and pregnancy information is reproductive health data. We use it only to provide the cycle/coaching features you use, not for advertising.
- Cycle length labels (for example “typical range” / “outside typical range”) are informational estimates only, not a medical diagnosis.
If you do not want us or your coach to process a category of sensitive data, do not enter it, and ask your coach to delete any copy they hold. You may also request deletion as described in Section 10.
7. User-generated content
Chat, community posts, comments, habit comments, check-in answers, photos, videos, and voice notes are user-generated content.
- You are responsible for what you upload.
- Do not share other people’s personal data without permission.
- Do not post illegal, hateful, sexual involving minors, or medically dangerous content.
- Community posts can be seen by other members. Coach chat is intended for you and your coaching team.
- We and your coach may remove content that violates the Terms of Use.
You should be able to report abusive community content in the App. If a report control is missing in your build, email admin@betterhealthprojectonline.com or bhpapponline@gmail.com and we will review it.
8. Push notifications
If you allow notifications, we store a device push token and may send:
- Chat / message alerts
- Workout reminders
- Nutrition alerts
- Coaching, habit, check-in, and wellness reminders
You can disable notifications in the App settings and in iOS/Android system settings. We still need a token while notifications are enabled so we can deliver them to the correct device.
9. Storage, location, and security
- Data is sent to our servers over HTTPS.
- Media may be stored with Cloudinary.
- Realtime coaching data may be stored in Google Firebase (Realtime Database / Firestore).
- Copies also remain on your device until you log out, clear app data, or uninstall.
Security measures we use include: account authentication, bearer tokens, Firebase-authenticated realtime access, Android backup exclusion for app preferences, and release-build code shrinking. No method of transmission or storage is 100% secure.
Important limitations you should know:
- Local databases on the device are not currently encrypted with a user-specific cipher. Protect your phone with a passcode / biometrics.
- Coaches can see client health data by design.
- Do not screenshot or forward other members’ community content.
Retention: we keep account and coaching records for as long as your coaching relationship lasts and for a reasonable period afterward (or longer if the law requires). You may request deletion (Section 10). Backups may persist for a limited time after deletion.
10. Your rights and account deletion
Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing, and to withdraw consent.
How to exercise rights
- Update much of your profile inside the App (You / profile setup).
- Ask your coach to correct coaching records they control.
- Email bhpapponline@gmail.com from the email address on your account.
Account deletion (required for store listings that offer accounts)
Because you have a Better Health Project account, you must be able to request deletion of that account and associated personal data.
How to request deletion:
- In the App (preferred): open Settings → Delete my account and confirm. This sends a deletion request to your coach or administrator.
- Email bhpapponline@gmail.com with subject line
Delete my Better Health Project account, from the same email address as your login. - Your coach can also close the account from the coach dashboard.
- Uninstalling the App does not delete server-side data.
After we verify the request, we delete or anonymize account data, health logs, chat media we control, community posts we can remove, device tokens, and profile photos, except data we must keep for legal, security, or dispute reasons. A public walkthrough is also at https://www.better-health-project.com/delete-account.
We aim to complete verified deletion requests within 30 days (or sooner if local law requires).
EEA/UK users may lodge a complaint with their supervisory authority. California residents may have additional CPRA rights, including the right to know, delete, and correct, and to non-discrimination. We do not sell or “share” personal information for cross-context behavioral advertising as those terms are commonly defined.
11. Third-party links and embedded content
Workout and recovery videos may open or embed YouTube, Vimeo, Dropbox, or similar players inside a WebView. Those services are not controlled by us. Their privacy policies apply when their content loads.
Barcode food lookup uses our API, which may query food databases. Results can include product names and nutrition facts; we store scans you save to your diary.
12. International transfers
We and our processors (including Google Firebase and Cloudinary) may process data in the United States and other countries. Where required, we rely on appropriate transfer mechanisms (for example Standard Contractual Clauses) used by those providers.
